CLASS CONCEPT/FUNCTION

This is the second class in the Alumni Program series for positions that plan, promote, and coordinate programs and projects to enhance alumni relations and financial support to an institution of higher education. Positions in this class plan and develop alumni programs; organize, establish, and evaluate alumni chapters and activities; and supervise daily operations of the alumni office. This class is distinguished from the Alumni Program Coordinator class by the latter's involvement in implementing alumni projects and activities in support of the overall agency program.

 

DISTINGUISHING FEATURES OF THE WORK

Complexity of Work: Performs work of considerable difficulty and includes providing leadership for the establishment and coordination of alumni chapters; preparing written evaluations of alumni programs and activities; recruiting and managing alumni volunteers; compiling and producing an annual calendar; writing and editing news articles; designing and implementing promotional programs; and developing and hosting alumni events and activities. Develops and evaluates revenue generating programs, activities and projects. Supervises and performs administrative management functions in support of an alumni office; hires, trains and evaluates support staff; supervises and maintains alumni data base; provides interpretation on university and alumni policies and procedures; develops and manages operating budget; maintains financial and budget records and approves expenditures; and provides support and direction to alumni chapter treasurers and audit committees. Serves as liaison and represents the alumni office to governing boards and various committees.

Supervision Given: Provides supervision to support staff, students and volunteers.

Supervision Received: Positions in this class work under the general direction of a faculty professional or administrative position which provides guidance on major budgeting issues, policies and program areas.

Scope: Positions in this class affect the establishment and continuation of a support base to an institution of higher education on a state, national and occasionally international level.

Impact of Actions: Positions in this class plan and develop a broad range of programs which can positively enhance the alumni support base of the agency. Ineffective decisions could impact program activities, the level of volunteer and financial support to the agency, and the image of the agency.

Personal Contacts: Frequent internal and external contact with the general public, businesses, alumni boards, alumni, students, faculty and staff, vendors, auditors, local and state officials, and agency administrators and managers to establish, coordinate and evaluate alumni chapters and programs.

 

KNOWLEDGE, SKILLS AND ABILITIES

Knowledge: Considerable knowledge of public relations principles and practices; working knowledge of data base systems; budgeting, accounting, and supervisory principles.

Abilities: Demonstrated ability to effectively communicate orally and in writing; to plan and implement programs; to develop and monitor financial information; and to organize and direct alumni office operations and support staff.

QUALIFICATIONS GUIDE*

Licenses or Certification: None.

Education or Training: Graduation from an accredited college or university with course work in public relations or a related field.

Level and Type of Experience: Considerable experience with alumni relations program and event management; some experience with volunteer management or other leadership activities; and business management or related activities.

An equivalent combination of training and experience indicating possession of the preceding knowledge and abilities may substitute for this education and experience.
