CLASS CONCEPT/FUNCTION

This is the second class in a series of classes for professional positions which plan and implement special events to promote agency support. Positions in this class develop, manage and implement major agency events which may have state and national significance; and direct the planning and execution of special ceremonial and social events with emphasis placed on cultivating major donors. This class is distinguished from the Special Events Coordinator by the latter's involvement with planning and implementing projects and activities in support of major special events.

 

DISTINGUISHING FEATURES OF THE WORK

Complexity of Work: Performs work of considerable difficulty which includes designing, managing and implementing major ceremonial, fund raising, social and other special events to promote a positive image of, and/or increase giving to the agency. Plans, prepares and manages the budgets for events; approves expenditures; and prepares final financial statement. Develops the overall concept of the event; works closely with various committees, advisory boards, agency executive managers and staff, and other external officials and agencies; and ensures all aspects of the function conform to agency and state regulations. Devises the media and promotional plans for the event, and may serve as the spokesperson for the agency regarding activities related to the event. Evaluates the effectiveness of major special events; recommends to agency executive management which efforts are successful and improvements needed; and serves as advisor on agency events, dinners and/or special activities. May supervise volunteers, hourly workers, students, and other staff in executing agency events.

Supervision Given: Supervision is typically not a factor, but may supervise hourly employees, students, volunteers, and support staff.

Supervision Received: Positions work under the general direction of a faculty or agency administrator who approves overall plans for the event.

Scope: Positions in this class design and execute major agency events that directly affect the image of the agency and could affect the continuance of major gift activities.

Impact of Actions: Decisions have serious impact upon the cultivation of potential agency supporters. Ineffective decisions could negatively affect the agency's achievement of its goals.

Personal Contacts: Frequent internal and external contact with agency officials and administrators, governing boards, local government authorities, in order to solicit support for the agency and executive special events.

 

KNOWLEDGE, SKILLS AND ABILITIES

Knowledge: Considerable knowledge of public relations principles; the agency's organizational structure and programs; and of etiquette, protocol, and conventional social amenities. Working knowledge of event budgetary methods.

Skills: None identified for this class.

Abilities: Demonstrated ability to effectively communicate orally and in writing; design, plan and executive major events and project plans.

 

QUALIFICATIONS GUIDE*

Licenses or Certification: None.

Education or Training: Graduation from an accredited college or university with course work in public relations or a related field.

Level and Type of Experience: Considerable experience in coordinating major events; working with matters of protocol or related activities.

An equivalent combination of training and experience indicating possession of the preceding knowledge and abilities may substitute for this education and experience.
