CLASS CONCEPT/FUNCTION

This is the third class in the Enrollment Services series which provides enrollment services at a college or university. Enrollment services occur in departments such as admissions, registrar's office and financial aid and involves processes and operations which facilitate the initial enrollment and ongoing registration of students. Positions in this class independently administer the most complex programs of an institution's overall financial aid department; or function as the institution's charge position for admissions, registration, records and recruitment. This class is distinguished from the Enrollment Services Specialist class by its responsibility for independently coordinating a more complex enrollment services program which involves the integration of numerous activities and requires considerable planning and decision making.

 

DISTINGUISHING FEATURES OF THE WORK

Complexity of Work: Performs work of considerable difficulty which involves frequent contact with students, prospective students and parents regarding the institution's available services. Some positions in this class administer financial aid programs which require the coordination of numerous activities and involvement in programs such as the college or university's work study program, cooperative education program, large scale veterans' program or the Job Training Partnership Act (JTPA). Duties including planning program operations, establishing goals, evaluating program effectiveness and developing or modifying policies and procedures. Positions monitor and account for program funding; manage the budget; supervise program record keeping; and serve as liaison between students and employers, financial institutions, veterans administration, other federal agencies, and university administration. For large scale work study programs, positions interview students to determine the most appropriate placement, monitor student performance and ensure that students do not exceed maximum hours, and administer program payroll. In a setting where programs are less complex, positions may be the charge position responsible for all programs within a department. Positions with charge enrollment responsibilities engage in duties such as planning and administering the activities and policies of admissions recruitment, student transfers, records, class registration and scheduling, graduation, transcripts, and veteran's programs.

Supervision Given: Positions supervise Enrollment Services Assistants, office services positions, students and wage employees. Some positions in this class may supervise Enrollment Services Specialists.

Supervision Received: Receives general direction from a higher level administrative position.

Scope: The work performed by positions in this class affects the assigned program, other enrollment services areas, and higher level management decisions.

Impact of Actions: Effective job performance ensures the successful provision of services by the assigned enrollment services program enhancing the academic performance of students; and can facilitate the institution's public relations, image, mission and enrollment goals. Errors can reduce student enrollment; damage university relations; or result in the loss of financial support.

Personal Contacts: Frequent internal and external contact with parents, higher level school administrators, financial institutions, and students or perspective students to solve problems related to the administration of the assigned enrollment program, to discuss policy decisions, and to provide information concerning the program's direction.

 

KNOWLEDGES, SKILLS AND ABILITIES

Knowledges: Considerable knowledge of the program policies, of the institution's overall policies and procedures, and of the regulations and laws related to the work.

Skills: None identified for this class.

Abilities: Demonstrated ability to plan, develop and implement program activities, procedures, and policies; to establish goals and priorities; to make decisions based upon the program's and institution's needs; to supervise others; and to evaluate program activities and make necessary modifications in policies and procedures.

 

QUALIFICATIONS GUIDE*

Licenses or Certification: None.

Education or Training: Graduation from an accredited college or university with course work in business administration, or a related field.

Level and Type of Experience: Progressively responsible experience related to the provision of enrollment services in a college or university.

An equivalent combination of training and experience indicating possession of the preceding knowledges and abilities may substitute for this education and experience.

This class was developed by a Classification Review/Specification Update team and replaces some of the positions in the Enrollment and Student Services Coordinator class, effective November 1990.
