CLASS CONCEPT/FUNCTION

This is the second class in the Enrollment Services series which provides enrollment services at a college or university. Enrollment services occur in departments such as admissions, registrar's office, and financial aid and involve processes and operations which facilitate the initial enrollment and ongoing registration of students. Positions in this class are responsible for administering one or more segments of a financial aid program characterized by established regulations regarding student eligibility; organizing and implementing a school's registration process; or planning, scheduling and conducting college fairs, high school programs and other recruitment sessions, and making admissions decisions. This class is distinguished from the Enrollment Services Assistant class by its responsibility for conducting program activities and making decisions. It is distinguished from the Enrollment Services Coordinator class by the latter's responsibility for planning and administering a more complex enrollment services program which involves the integration of numerous activities and ongoing decision making and follow-up.

 

DISTINGUISHING FEATURES OF THE WORK

Complexity of Work: Performs work of moderate difficulty which involves frequently contacting students, prospective students and parents regarding the institution's admissions decisions, awarding financial aid, evaluating student records, registering students for courses, and providing general information about the school. Positions assigned financial aid responsibilities are involved in the administration of a segment of a financial aid program which involves reviewing financial aid applications and determining the need for verification and additional information; computing student financial needs; making award decisions based upon specific program criteria; monitoring program fund balances for reporting purposes; and reconciling accounting records and preparing reports. The financial aid programs administered by these positions involve specific criteria and the award of funds such as loans, scholarships, fellowships, and grants. Work study programs administered by positions in this class are limited in nature, coordination and follow up. Positions in this class may be responsible for organizing and implementing the school's class registration process. When assigned recruitment and admissions responsibilities, duties include actively recruiting new students by planning recruitment activities; contacting and travelling to schools, meeting with prospective students, their parents, and attending community organizations to conduct presentations that highlights opportunities which the school provides; and making admissions decisions of undergraduate applicants and transfer students based upon specific criteria.

Supervision Given: Positions may supervise Enrollment Student Services Assistants, students, and wage employees.

Supervision Received: Receives directions from a program administrator who plans and establishes program goals.

Scope: Work affects students, prospective students, parents, faculty, and community organizations through the services provided by the assigned enrollment services program. Other enrollment services programs may also be affected.

Impact of Actions: Work performed by positions in this class may positively or negatively affect the students' ability to obtain financial aid or the school's ability to attract and retain students; to enroll students in classes; and to maintain accurate student records.

Personal Contacts: Frequent internal and external contact with students, parents, prospective students, high school counselors, faculty, financial institutions and university administrators to provide assigned enrollment student services.

Knowledges: Working knowledge of the assigned enrollment service programs and the institution's policies and procedures.

Abilities: Demonstrated ability to communicate effectively orally and in writing; to make program decisions based upon specific criteria; and to promote the institution and its services.

 

QUALIFICATIONS GUIDE*

Licenses or Certification: None.

Education or Training: Graduation from an accredited college or university with course work in business administration or a related field.

Level and Type of Experience: Experience in an office or university setting which involved decision making within specific policy and procedural guidelines.

An equivalent combination of training and experience indicating possession of the preceding knowledges and abilities may substitute for this education and experience.
