CLASS CONCEPT/FUNCTION

This is the first class in the Enrollment Services series which provides enrollment services at a college or university. Enrollment services occur in departments such as admissions, registrar's office, and financial aid and involve processes and operations which facilitate the initial enrollment and ongoing registration of students. Positions in this class are responsible for providing substanative program information to students, parents, and the general public related to the availability, alternatives, and procedures for services offered in an assigned enrollment services area; reviewing and verifying student status; or supervising a related office services process requiring extensive student and parental contacts and a knowledge of the assigned program's requirements, procedures, and processes. This class is distinguished from classes in the office services classes by its responsibility for performing routine program activities requiring extensive student contact. The class is distinguished from the Enrollment Services Specialist class by its responsibility for performing work within well established policies and procedures and by the latter's responsibilities for performing more involved program activities and making decisions that require more technical knowledge of programs.

 

DISTINGUISHING FEATURES OF THE WORK

Complexity of Work: Performs work of routine difficulty which involves frequent contact with students, prospective students and parents regarding the institution's admissions process, available financial aid, student records, course registration, and general information about the school. When assigned to an admissions office, positions in this class provides program information and answer detailed questions about the university and its admissions process and criteria; distribute applications; and review applications for completeness. Positions working in a school's financial aid office provide information relating to the availability and criteria for student loans, scholarships, grants, fellowships, work study programs, Job Training Partnership Act (JTPA), cooperative education, and veterans' programs; and distribute and perform an initial review of financial aid applications. Other enrollment service positions at this level may be responsible for reviewing student records in relation to graduation, athletic program or teacher certification requirements; transfer requests; honor status; academic credits; grade or academic major changes; requirements or academic standing by matching records against specific criteria and notifying students who are not meeting requirements. Positions may be a primary assistant in the institution's class registration process and the administration of add/drop; coordinate the publishing of class schedules; or be responsible for the record keeping and registration activities of a school or large department within a college/university. Positions may supervise office services positions engaged in maintaining student records or processing admissions and transfer applications. Some positions in this class may be responsible for providing general information regarding a variety of enrollment services to the institution's evening students by serving as the sole representative of the college administration during the evening hours. Positions in this class located in a setting where programs are less complex may be responsible for a broader range of enrollment services activities.

Supervision Given: Supervision is typically not a factor; however, some positions may supervise office services positions, students, and wage employees engaged in processing functions.

Supervision Received: Positions receive immediate or general supervision from a higher level enrollment services position, or other administrative position.

Scope: Work performed by positions in this class facilitates the enrollment services provided to students, prospective students, and parents by the assigned enrollment services unit.

Impact of Actions: Effective job performance enables students, prospective students, and parents to obtain accurate, routine information and resolve questions about the school and its programs. Errors could result in delayed enrollment or the need for corrections.

Personal Contacts: Frequent internal and external contact with students, parents, potential students, faculty, financial institutions, and high school counselors to provide and obtain routine information regarding the school and its programs.

QUALIFICATIONS GUIDE*

Licenses or Certification: None.

Education or Training: Graduation from high school or equivalent.

Level and Type of Experience: Experience in a university setting which involved providing routine information and assistance to a wide variety of people.

An equivalent combination of training and experience indicating possession of the preceding knowledges and abilities may substitute for this education and experience.
