Distinguishing Features of the Work

Heads a unit providing archival services in the State Library or in a university library; or provides advanced archival research services in a large library setting; or conducts archival and records management programs with state and local agencies.

May supervise lower level archivists, library assistants, or clerical support personnel. Reports to a higher level archivist, librarian, or faculty member.

Positions allocated to this class supervise functions such as the local and state records, reading room, and correspondence units of the State Library, or archival units such as the Tomkins-McCaw and James Branch Cabell libraries at Virginia Commonwealth University.

State Library

Visits state and local agencies to promote the use of effective records and file management procedures. Supervises staff assigned to arrange and describe records generated by state and local government units, and by state agencies. Evaluates records, identifies those to be retained or discarded, and prepares finding aids. Maintains files documenting the transfer and disposition of local and state records. Assists in preparing retention and disposition schedules. Consults with local and state officials relative to the transferring and microfilming of records. Consults with other library staff concerning the use of restricted records.

Supervises the daily operation of the reading rooms and the work of staff assigned to reference duties. Explains and enforces regulations governing the use of collections. Serves as chief reference archivist on duty providing reference services to patrons. Prepares responses to mail and telephone inquiries, performing research, as necessary.

Supervises staff assigned to the correspondence unit. Assigns letters to reference or other archivists, as appropriate. Supervises preparation of photocopy orders, and coordinates related billing and record keeping.

Performs special duties such as serving as head of the colonial projects, or handling special research project where advanced, complex researching is required.

plans and administers the archival retention program for either the health sciences or academic divisions of the university. Determines policies, plans development, and solicits donations. Accesses and processes materials. Prepares finding aids and indexes. Assists patrons with use of materials. Prepares exhibits. Administers budget. Supervises supporting staff.

 

Qualification Guide

Knowledge of library organization and procedures. Ability to analyze and classify historical documents and to perform related research. Ability to assist patrons and to communicate effectively orally and in writing. Ability to formulate plans and procedures and to supervise the work of others

Graduation from a college or university with studies in history, library: science, or a field related to the duties of the position. Progressive experience in archival work is desirable. Training and experience indicating possession of the preceding knowledge and abilities may substitute for the degree requirement.
