Distinguishing Features of the Work

Assists an Extension Center Director in the administration of a regional program of adult education.

Duties involve assisting an Extension Center Director in establishing, expending, and promoting a comprehensive and extensive program of adult educational courses over a large geographical area of the State. Responsibility is attached for assisting in such functions as the determination of curricula, organization or specialized courses, preparation of semester bulletins and publicity materials, locating and obtaining instructors and physical facilities, procurement of teaching materials, and supervision of clerical functions. The incumbent may participate in each individual facet of the over-all administration of the program or may be assigned and held responsible for the complete execution of one or several specific functions of the total operation. Work is performed under the supervision of the Extension Center Director who makes assignments, appraises results and reviews all important decisions rendered by the incumbent.

Examples of duties characteristic of positions in this are

1. Participates in planning the program of courses to be offered each semester; assists in the compilation and organization of semester program announcements, periodic publicity brochures, and news releases; may write course descriptions, plan layout of printed materials, and follow through to final publication; compiles and maintains, on a current basis, the mailing lists for the various bulletins.

2. Assists director in locating and interviewing prospective instructors; contacts representatives of local industry, civic and professional organizations, school and governmental officials, for recommendations of qualified persons; determines applicant’s educational and experience background, appraises personality and demeanor, and prepares resumes of interview to be forwarded to the University with the application.

3. Assists in contracting for physical facilities; may schedule rooms and meeting hours of all classes, rearranging assignments as necessary to effect an efficient operation; handles arrangements for procurement of texts, audio-visual equipment, and supplementary reading or reference materials.

4. Assists director in processing correspondence and handling telephone calls relevant to the educational program its credits, fees, course requirements, meeting hours of various classes, etc.; may represent director in meetings with groups of prospective students to explain the aim and scope of the program and to plan specialized courses to meet the specific objectives of the group.

5. Counsels students on academic problems; advises on programs of study to meet requirements for the degrees in various fields; explains policies on transfers of credits; helps students in selection of courses for general self-improvement, for renewal of teaching certificates, or to make up academic deficiencies.

6. May supervise the clerical functions relevant to the administration of the program, directs conduct of registration periods; collects fees, makes bank deposits, and prepares transmittal sheets; insures proper preparation and maintenance of reports and records pertaining to registrations, students’ grades, and other administrative processes relevant to the operation of the program.

 

Qualification Standards

Completion of a standard college of university course with major subjects in education or some closely-allied field supplemented by three years of experience preferably in teaching, office or education administration. Additional education may be substituted for experience on an equivalent time basis.

Mature judgment; some knowledge of the principles of education, office management, and academic counseling; some knowledge of the University’s curricula, rules, regulations, and degree requirements; ability to advise students on academic problems; ability to participate in and supervise the clerical functions of the program; ability to learn the principles and practices of adult education and extension teaching and to participate progressively in the overall planning and direction of the program; ability to meet the public.
