Distinguishing Features of the Work
Serves as the Assistant Director for Administration in the and Buildings Division of the Department of General Services.
Engineering
Supervises a technical and clerical support staff. Reports to the Engineering and Buildings Deputy Director.
Coordinates budget preparation for the division as well as developing the budget for the office of administration. Evaluates budget proposals for each bureau in order to ensure consistency with state and agency goals and priorities. Develops program objectives and financial justifications for the administrative office. Analyzes past expenditures to project future needs, and to recommend fund allocations. Recommends abolishing or holding positions vacant in order to attain financial goals. Approves purchases and expenditures.
Directs the work of a methods and procedures analyst, information processing specialist, and clerical/stenographic positions who provide support for a variety of divisional administrative activities. Interviews and hires staff. Schedules work. Handles employee relations functions including performance evaluation, leave approval, complaint resolution, and transactions implementation.
Oversees development and maintenance of office automated files, information processing, and implementation of division standards and procedures. Researches special projects such as employee turnover, capital outlay expenditures and services provided to other agencies, and makes recommendations. Develops and writes parking policies and procedures for lots in the capitol area. Reviews bureau directives for consistency and clarity of content, and to ensure adequate documentation.
Inventories, values and documents Governor's Mansion furniture, furnishings, art works and equipment. Ascertains adequate insurance coverage. Approves purchase orders for Mansion refurbishment. Represents division or agency at meetings and special events covering a variety of administrative matters.

Qualification_Guide
Knowledge of fiscal and office management principles and procedures. Knowledge of agency and divisional services and policies. Ability to perform research and to recommend objectives, policies and procedures. Ability to supervise the work of others, and to perform employee relations functions.
Graduation from high school and post-secondary education or experience in accounting, office management or a related field, including responsible administrative experience; or an equivalent combination of training and experience.
