CLASS CONCEPT/FUNCTION

Performs program support work of a specialized nature in a functional area such as purchasing, collecting, licensing, inventory control or personnel which requires the application of policies and procedures. May perform work which includes a variety of these functions or involves directing, scheduling and controlling the activities of a facility which is used by the public, employees or students.

 

DISTINGUISHING FEATURES OF THE WORK

Complexity of Work: Performs work of moderate difficulty requiring the exercise of independent judgment in applying prescribed policies, procedures and technical knowledge in a specialty field. Maintains cost, financial, inventory, manpower or other specialized reports in order to account for and evaluate items purchased, services rendered, productivity or other control oriented activities. This is accomplished by keeping records such as fees collected, quantity and quality of items purchased, credit or reimbursement due, positions or space needed, and availability of stock. Makes recommendations to improve services, collections or products by comparing data such as production reports, various transactions or fiscal summaries. Schedules the activities of a facility and maintains records in order to control the use and determine the amount of fees to collect, when appropriate.

Supervision Given: May act as a lead worker in order to advise, direct and train others.

Supervision Received: Directions are received from a departmental unit manager, unit supervisor, Office Services Supervisor Senior, Office Manager or other professional. Problems are solved in accordance with instructions, policies, previous training and accepted practices. Supervisor works with this position on unusual situations.

Scope: The scope of activities usually found in a subdivision of the agency will affect the accuracy and reliability of other agency decisions or processes in a specific specialty or programmatic area.

Impact of Actions: Controls positions, purchases, inventory, collections or major services by keeping records indicating actions needed in order to have necessary resources for agency planning, expenditure of funds and production by employees.

Personal Contacts: Responds frequently to individuals inside and outside of the organization in order to gather or supply information usually on the availability of resources or facilities. May contact vendors in order to discuss prices, shipping discrepancies and delivery dates. May employ public contact to collect fees due for services rendered.

 

KNOWLEDGE, SKILLS AND ABILITIES

Knowledge: Considerable knowledge of agency and state policies and procedures as related to the subject area. Working knowledge of basic bookkeeping/accounting principles and technical aspects of the subject area.

Skills: Working skill to operate office equipment including automated equipment, as required to accomplish the work.

Abilities: Demonstrated ability to perform detail work with numerical data and prescribed procedures; collect and organize material for reports by determining what is available and what should be included to present the information in a prescribed organized format; and communicate with others effectively.

 

QUALIFICATIONS GUIDE*

Licenses or Certification: None

Education or Training: Graduation from high school in a program which included or was supplemented by a business oriented curriculum to include office practices and basic bookkeeping/accounting principles.

Level and Type of Experience: Experience related to the specialty area indicating possession of the applicable knowledges, skills and abilities.

An equivalent combination of training and experience indicating possession of the preceding knowledge, skills and abilities may substitute for this education and experience.

 

CLASS HISTORY

This class is one of the 15 new generic classes established in the Office Services occupational group effective July 1, 1986, as a result of the statewide clerical classification study.
