CLASS CONCEPT/FUNCTION

This class is the beginning level of the office services and secretarial series. Performs office work of a repetitive nature in which standardized duties follow well-defined methods and procedures. The work may be primarily single function keyboarding, transcribing, filling or comparable production type activity or control oriented functions involving verifying, coding, information compiling, copying and basic arithmetical computing. Work may also be a combination involving a routine variety of non-complex office support activities in a structured office staff unit. Assignments and tasking are specific. Machine operation can be learned through brief on-the-job training. The work is subject to close review and requires that new processes and procedures be thoroughly explained and supervised.

 

DISTINGUISHING FEATURES OF THE WORK

Complexity of Work: Work is routine with limited need for discretion and Judgment and involves duties that may be either manual or automated in nature. Keyboarding may require operating both manual and automated keyboards and office computers for the purpose of processing very routine administrative traffic or transcribing similar materials from machine or spoken dictation. Primary work functions may be singular or a combination of maintaining records and files; receiving, screening, reviewing and verifying documents; and searching for, compiling, coding and entering data for the purpose of systematic ease o' access and retrieval of stored materials. Reviews of reports, computer printouts, documents and similar materials are conducted for purposes of verifying information and making routine corrections. Receptionist functions involve routing telephone calls, greeting visitors, taking information and directing individuals to proper persons or office locations. Work may also involve routine receiving of applications, documents, forms and fees for further processing. Processing of records, forms, books for collating and binding and similar type activities are performed in support of activities in medical clinics, libraries, taxing and licensing units or similar operations. Opening and distributing mail, document reproduction, simple file research, switchboard operation and office supply ordering and inventory may also be performed in general support of the office unit. and completeness checks, and standard edit and correction of keyboarded materials are accomplished in association with the tasks assigned.

Supervision Given: Positions in this class do not supervise but may informally and infrequently assist in training of new workers.

Supervision Received: Immediate supervision is received from higher levels within the office services or secretarial series. Supervision may be received from even higher non-office services or secretarial levels based on organizational alignment. Supervisors routinely check work for accuracy, format and completeness and provide close supervision when new work processes or procedures are introduced.

Scope: Positions function within a narrow, well-defined area with assistance readily available, the process of which facilitates the work of others.

Impact of Actions: Work errors are subject to corrective procedures inherent within system operations, and supervisory checks are applied frequently so as to minimize effect beyond the immediate work area.

Personal Contacts: Personal contact is primarily within the work area and the employing agency. Public contact is guided by specific instructions especially where activities such as fee collection or information dissemination are involved.

 

KNOWLEDGE, SKILLS AND ABILITIES

Knowledge: Some knowledge of basic office practices, procedures and currently used equipment; manual and/or automated filing by numerical, chronological, alphabetical or other means; and standard grammar' spelling and punctuation.

Skills: Working skill in basic keyboarding commensurate with the work assigned.

Abilities: Demonstrated ability to work with others; learn the organization, policies and procedures; learn standard office equipment operation; follow oral and written instructions; and perform basic arithmetical calculations.

Level and Type of Experience: Some experience in related duties.

An equivalent combination of training and experience indicating possession of the preceding knowledge, skills and abilities may substitute for this training and experience.

This class is one of the 15 new generic classes established In the Office Services occupational group effective July l, 1986, as a result of the statewide clerical classification study.
